How do you choose a CRM? Six criteria

Before comparing feature lists, answer these six questions in order. The first two already remove half the candidates.

    If a sale triggers a contract, a project or support tickets, look for a CRM tied to that work. Otherwise you will retype every client into a second tool.

    The price for the whole team

    Multiply the per-seat price by your headcount, add the start-up fees and note the currency. Tier pricing, like the OKTO PSA price grid, does not move with each hire.

    Where the data sleeps

When another CRM is a better choice than OKTO PSA

Email sequences at scale, automation workflows, lead scoring: that is HubSpot’s trade. OKTO CRM has outreach campaigns and a consent register, not a marketing platform.

You rely on dozens of integrations

OKTO PSA connects to QuickBooks, Stripe and Microsoft 365 or Gmail email. It has no public API and no marketplace. HubSpot advertises more than 2,000 apps.
