PDF editor

A Quebec PDF editor with AI, without leaving your management software

OKTO PDF is the PDF editor built into OKTO PSA, a Quebec software. You read, annotate, sign and merge PDFs without leaving the software. It also reads scanned documents, in French and in English, and its assistant summarizes a text, answers with the page number and translates it.

What can you do with OKTO PDF?

Nearly everything you do to a PDF at the office, without exporting the file or opening another program. Here are the actions, grouped.

Read and annotate

Highlight, underline or strike through a passage. Add a note, an arrow, a text box or a stamp, and search for a word across the whole document. The first page of a long document shows up faster, and the editor loads at half the weight.

Sign and fill in

Sign by drawing, typing your name or importing an image of your signature. Add your initials and the date. A PDF form is filled in on screen.

Merge and rearrange

Combine several files into one PDF. Split a document, extract pages, insert a blank page, rotate, crop. To change the order, drag the thumbnails.

Convert and protect, depending on your instance

Converting Word, Excel and PowerPoint, compressing and password protection go through a conversion service installed on the instance. We tell you up front whether yours has it.

Recognize text

A scanned document is just an image: you cannot search for a word or copy a passage. Text recognition, in French and in English, makes it searchable.

Open from OKTO PSA

In a document preview and on the PDF attachments of tickets, an Open in OKTO PDF button. Saving creates a new version of the document, or a new attachment on the ticket.

What does the OKTO PDF assistant do with a long document?

It reads the open document and answers in plain language. Ask for a summary of a twenty-page contract, put a precise question or have a passage translated. When it answers a question, it tells you the page where it found the information, so you can check the source instead of taking its word for it. It suggests, you review.

The assistant goes through the AI provider configured in Settings for your instance. With no provider configured, it does not answer.

Summarize

A summary of the document, or of a part of it, to know whether a full read is worth the time.

Answer with the page number

“Who pays travel costs?” The answer comes with the page to open to confirm it.

Translate

A passage, a clause or the whole document, from French to English and back, or into another language.

OKTO PDF or a standalone PDF editor?

A standalone editor does its job well: reading, annotating, signing. The difference lies in what surrounds it. In OKTO PDF, the file comes from a ticket, a project or a client, and goes back there.

From a received PDF to a signed PDF, in six steps

A common path: a contract arrives as an attachment and must go back signed. No file leaves the software only to come back.

  1. 01

    Open

From a project or client document, a ticket attachment, or by dropping a PDF, Word, Excel, PowerPoint or image file onto the page.

  2. 02

    Read and search

Search for a word, run text recognition on a scan, or ask the assistant for a summary.

  3. 03

    Annotate

Highlight the clause that matters, add a note for a colleague.

  4. 04

    Sign or fill in

Your signature, your initials, the date, then the form fields.

  5. 05

    Save

A new version of the document is created. On a ticket, the signed PDF is added to the attachments. The original stays where it is.

  6. 06

    Send or get it signed

Save the result as a new version of the document, or request signatures with the e-signature module when it is turned on.

Who can use it, and how do you turn it on?

OKTO PDF stays off until an administrator turns it on, in Settings, Modules. Two permissions then control access: who can open the editor, and who can protect a document with a password.

In the office

A contract, a received invoice, a form to fill in: you read it, sign it and file it with the client or the project.

On the service desk

A ticket attachment opens, gets annotated and returns to the ticket as a new attachment.

For the administrator

They turn the module on and set the two permissions. Nothing to install on the workstations: the editor opens in the browser.
