OKTO PSA

OKTO PSA for property management

Property management software for Quebec.Your buildings, your tenants and maintenance in one place.

OKTO PSA is business management software made in Quebec, in French and English, and hosted in Quebec. For a plex owner, a rental property manager or a condominium syndicate, it keeps track of your buildings and units, your tenants and their leases, rent, TAL notices and RL-31 slips.

All of it sits next to what our clients already use: the tenant portal, maintenance requests, inspections, rentals, card payments and electronic signature. The owners you manage for get their own portal and monthly statement.

Quebec rental management software, for one plex or 300 doors

A property manager spends the day between tenant calls, suppliers, rent and TAL deadlines. In OKTO PSA, the lease, the tenant request, the work order, the plumber’s invoice and this month’s rent live in the same file.

Pricing is not per door: it is per tier of users. $300 a month before taxes for up to 10 users, whether you manage a triplex or several buildings.

Tenant portalAvailable

A tenant portal that replaces half of your calls

The tenant opens the portal under your name on their phone, describes the problem in one sentence, attaches photos or a voice message, and follows the request until it is resolved. You get a complete, sorted request, with photos before you even go on site. The tenant also pays rent there, keeps receipts and replies online to a lease change notice.

What the tenant already does there

  • Pay rent by card, see their statement and receipts
  • A request tied to their unit, with photos, a voice message and permission to enter
  • Urgency is confirmed twice, so urgent stays truly urgent
  • Follow-up on each request, from received to resolved
  • Their documents, the notices they received and an online reply to a lease change notice
  • Building posts and chat with your team during business hours
  • Sign-in with Microsoft, Google or an emailed link

What you gain

  • Fewer calls: the tenant sees where the request stands
  • Photos before the visit: the right tool and the right part the first time
  • Fewer reminders: the tenant sees the balance and pays online
  • Notices and replies stay on file, with their date
  • Everything is logged: who asked for what, when, and what was done
  • A portal under your name, in the tenant’s language, installable on their phone

What runs on its ownAvailable

Automations that work while you are on site

Every recurring task can run by itself: maintenance, this month’s invoice, the reminder, the supplier invoice. You stay in control, the software handles the routine.

Recurring maintenance

Fire extinguishers, filters, chimney sweeping: the task opens by itself every week, month or year, with nothing to re-enter.

Monthly invoice prepared

Recurring invoices are prepared each period, proration included. You review and send.

Card payment on the due date

The tenant authorizes automatic card payments in the portal, and the invoice is paid on the due date, with a notice if the card is declined.

Overdue invoice reminders

A polite email goes out before and after the due date, then a “Call” ticket opens after the last notice. Rent reminders can also go out by text, at no charge.

Supplier invoices read by AI

The plumber’s or snow removal invoice received by email becomes a filled-in draft. You approve line by line.

Forgotten requests brought back

A request with no news past the delay you set moves to “Action required”. Nothing sleeps in the queue.

Emails that become requests

A tenant’s email creates or updates the right request within seconds, attachments included.

Your own rules

“When this happens, do that”: assign, change status, write to the tenant by email or text.

Some automations start turned off: you switch them on whenever you want, in the settings.

Already in OKTO PSAAvailable

Everything OKTO PSA already does for a property manager

Everything below is available in OKTO PSA. The Property management business type adds buildings, leases, notices and RL-31 slips to the tools our clients already use. Condominiums, management on behalf of owners, inspections and rentals ship turned off: turn on when you want.

Leases and rent

Tenants, co-tenants and guarantors, lease data and signers. Rent goes out as a recurring invoice, with receipts, partial payments and matched Interac transfers.

TAL notices and deadlines

Notice calendar based on the lease term, the 2026 TAL calculation, reply tracking and the 24-hour entry notice.

Rentals and visits

Occupancy rate, units to rent, a listing with its public page, visits booked online and a prepared 24-hour entry notice.

RL-31 slips

Prepared in a batch from the leases, with one PDF per tenant.

Expenses by building

Invoices, taxes and insurance charged to the building. Income and expense report in CSV and PDF for the TP-128 and the T776.

Supplier documents

An insurance policy, licence or certificate is about to expire: OKTO PSA warns you, without ever blocking the supplier.

Management for owners

Mandates, held funds register, management fees billed every month, monthly statements and payouts. Each owner approves work in their portal and only sees their own buildings.

Condominiums and Bill 16

Fractions and shares, budget and contributions, contingency and self-insurance funds, maintenance log, 15-day certificate and meetings.

Tenant portal

The tenant describes the need in one sentence, attaches a photo or video, follows the request, sees invoices and pays online. In French or English, in the tenant’s language.

Requests and work orders

Each request becomes a ticket with a priority, an owner and a history. The work order goes to the janitor or the supplier and is signed on site.

Planned maintenance

Fire extinguisher inspection, chimney sweeping, heat pump service: the task is planned once and opens by itself on the due date, assigned to the right person.

Move-in and move-out inspections

Room by room with photos, and move-out compared with move-in. Report signed with OKTO Sign, keys and meters recorded, on the phone.

Online appointments

The tenant or supplier books a time slot for a visit or a job, without back-and-forth emails.

Recurring invoicing

An invoice that repeats every month goes out by itself on the planned date. The client account shows what is paid and what is still due.

Online card payment

The tenant pays by card from the invoice or the portal. With their consent, the card is charged automatically on the due date. The payment is matched to the right invoice automatically.

Electronic signature

OKTO Sign gets a work order, a quote, an agreement or building rules signed, through a link or on screen.

OKTO PDF and forms

Read, annotate, sign and merge PDFs, then place fillable fields on a form, such as an inspection sheet.

Suppliers and accounts payable

Purchases and purchase orders, then the supplier invoice received by email, read by AI and prepared as a draft to approve.

Texts and email to occupants

Let a tenant know the plumber comes Thursday, or a whole building about a water shutoff, with a preview and a record of each send. Texting is optional.

OKTHAV, the built-in assistant

Ask in plain language which requests have been waiting a week or who has not paid. It answers from your data, not from the Internet. Optional.

OKTO Transfer and secret notes

Send or receive files too large for email, scanned by antivirus. An encrypted note to pass on a door code without leaving it around.

On phone and tablet

OKTO PSA installs on the home screen under your company name. The janitor checks requests and adds photos on site.

OKTO CRM and OKTO HR

Follow commercial space leasing leads up to signature, and keep schedules, hours and leave for maintenance staff.

Hosted in Quebec

One dedicated database per client, encrypted backups and an audit log. Tenant information stays here. Built for Law 25.

MaintenanceAvailable

Tenant maintenance requests, from the portal to the work order

The tenant writes “leak under the sink” on the portal and attaches a photo. The request lands in the queue with the building address, you assign it to the janitor or a supplier, and the tenant gets a text once the visit is set.

During the lease, a visit or work requires 24 hours’ notice to the tenant, except for urgent repairs. Visits take place between 9 a.m. and 9 p.m.

What works today

  • One-sentence request, with photos, video or audio
  • Request queue by priority, assignment and follow-up until closing
  • Work order signed on site, before and after photos
  • Planned maintenance that opens by itself on the right date
  • Text to the tenant from the request

With the Property management type

  • Request tied to the building and the unit, with permission to enter
  • 24-hour entry notice prepared when an appointment falls in an occupied unit
  • Message to every occupant of a building or a floor, by text or email, with consent respected

Building maintenanceAvailable

Move-in and move-out inspections, room by room

At the start of the lease, you walk through the unit with the tenant, phone in hand: each room, its photos and your notes. At move-out, OKTO PSA puts the new inspection next to the move-in one. What changed stands out right away, and normal wear is noted separately, since the tenant is not responsible for it.

The report is signed with OKTO Sign, on site or remotely. Keys handed over and meter readings are recorded in the same inspection, in the unit’s file.

The module ships turned off: turn on when you want.

Source: Civil Code of Québec, art. 1890, condition of the dwelling at the end of the lease.

What is available

  • Move-in and move-out inspection, room by room, with photos
  • Move-out compared with move-in, normal wear noted separately
  • Report to sign with OKTO Sign
  • Register of keys handed over and returned
  • Meter readings at move-in and move-out
  • Inspection done on the phone, on site

A message to the occupants of a building or a floor

Water shutoff Thursday morning at 1240? You pick the building, or just one floor, then text, email or both. The preview shows the message exactly as tenants will receive it, before it goes out.

Every send leaves a record in the building file: who got it, how and when. A tenant who has not agreed to texts gets the email, and unsubscribes are respected.

What is available

  • Recipients: a whole building or a single floor
  • By text, by email or both
  • Message preview before sending
  • A record of every send in the file
  • Consent and unsubscribes respected

RentalsAvailable

Renting units: vacancy, listings and visits

The rentals board shows each building’s occupancy rate and the units to rent, with their progress from the unit freed up to the new lease. You see at a glance which units are still empty.

Each listing has its public page, with photos and the asking rent. People who are interested book their own visit slot. If the unit is still occupied, OKTO PSA prepares the 24-hour entry notice for the current tenant. Visits take place between 9 a.m. and 9 p.m.

What is available

  • Occupancy rate and vacancy by building
  • Units to rent and their progress
  • Listing with its public page
  • Visits booked online
  • 24-hour entry notice prepared for an occupied unit

Leases and rentAvailable

Leases and online rent collection

Each unit has its lease: tenants, co-tenants and the guarantor, dates, rent and signers. Rent goes out every month as a recurring invoice, and the tenant’s account shows what is paid and what is still owed.

The tenant pays by card in the portal. If they pay only part of it, the receipt shows it and the balance stays on the account. An Interac transfer is entered by hand, then matched to the right rent.

In Quebec, a landlord cannot require a security deposit or post-dated cheques. OKTO PSA never asks for a deposit.

What is available

  • A lease per unit: tenants, co-tenants, guarantors and signers
  • Monthly rent as a recurring invoice, tenant account and receipts
  • Card payment, and automatic card payments with the tenant’s consent
  • Partial payments and Interac transfers, entered by hand then matched
  • Unpaid rent reminders by email and text, at no charge, ready to switch on whenever you want
  • Evidence file ready for the TAL
  • Vacant units and occupancy rate, building by building

Notices and TALAvailable

TAL 2026 rent increase calculation and notice calendar

For notices given since January 1, 2026, the TAL applies a new calculation method. The base percentage is 3.1% in 2026, compared to 4.5% in 2025. The TAL offers its own 2026 calculation tool.

For a lease of 12 months or more, the modification notice is given 6 to 3 months before the lease ends. The tenant has 1 month to reply, and after a refusal, the landlord has 1 month to apply to the TAL.

OKTO PSA works out these dates for each lease, based on its term, and prepares the modification notice with the 2026 TAL calculation. The tenant replies online in the portal, and you are warned before the month you have to apply to the TAL runs out.

What is available

  • Notice calendar calculated for each lease, based on its term
  • Modification notice with the 2026 TAL calculation built in
  • Reply tracking and an alert for the one-month deadline to apply to the TAL
  • Assignment and sublease: the 15-day deadline tracked
  • 24-hour entry notice prepared when an appointment falls in an occupied unit
  • Manager calendar with every deadline

RL-31 slipAvailable

RL-31: filing RL-31 slips for your tenants

The owner of a building who rents a dwelling for which rent was paid or payable on December 31 must file an RL-31 slip for the tenants. The deadline is the last day of February of the following year.

One copy goes to Revenu Québec and one to the tenant. Above 5 slips, filing online is mandatory.

OKTO PSA prepares RL-31 slips in a batch from the leases and produces a PDF for each tenant. It does not produce the Revenu Québec XML file: filing is done through the means Revenu Québec accepts.

  • One PDF per tenant, ready to hand out

LeasesAvailable

Residential and commercial leases, with remote signing

For a dwelling, the official TAL form is mandatory. OKTO PSA does not generate it: it prepares the lease data, the signers and sections F and G, then files the signed lease in the unit’s record.

What comes with the lease is signed remotely through OKTO Sign: the building rules, the notice to the new tenant and the payment authorization. The TAL also offers its own electronic lease, with remote signing.

What is available

  • Lease data: dates, term, rent, services and signers
  • Tenants, co-tenants and guarantors kept apart
  • Building rules, notice to the new tenant and payment authorization signed through OKTO Sign
  • Signed TAL lease filed in the unit’s record
  • Full commercial lease in OKTO PSA

For a commercial space, the whole lease is done in OKTO PSA.

ReportsAvailable

Income and expenses by building, for the TP-128 and the T776

At tax time, each building has its own TP-128 form in Quebec, and the T776 is used federally. That means income and expenses sorted building by building.

In OKTO PSA, every supplier invoice and expense is charged to a building, with GST and QST kept apart, along with the building’s taxes and insurance. The income and expense report comes out per building, in CSV and PDF, for the TP-128 and the T776. Have your accountant review it before you file.

What is available

  • Supplier invoices read by AI, as drafts to approve
  • Expenses and invoices charged to a building
  • Building taxes and insurance
  • Income and expense report per building, in CSV and PDF
  • Supplier documents with due dates: a warning, never a block
  • Expenses and receipts photographed on a phone

Your suppliers’ documents have due dates too: when an insurance policy, a licence or a certificate is about to expire, OKTO PSA warns you, without ever blocking the supplier.

CondominiumAvailable

Condominium management and Bill 16

The Bill 16 regulation has been in force since August 14, 2025. A syndicate has 3 years and 1 day to have its maintenance log and its first contingency fund study prepared, then the study is redone every 5 years. The certificate on the condition of the co-ownership is delivered within 15 days of the request.

In OKTO PSA, each fraction has its share. The budget becomes contributions calculated for each co-owner, the contingency and self-insurance funds are tracked separately, and a certificate requested by a notary comes with its 15-day deadline (art. 1068.1 C.C.Q.). For the meeting, the notice is prepared 10 to 45 days ahead and the quorum is calculated by shares. Nothing goes out without you.

The module ships turned off: turn on when you want.

Source: Québec.ca, measures for co-ownerships (French). Meeting notice: Civil Code of Québec, art. 1087.

What is available

  • Fractions and the share of each co-owner
  • Annual budget and contributions by share
  • Contingency fund and self-insurance fund
  • Maintenance log, tied to planned maintenance
  • Syndicate certificate tracked with its 15-day deadline
  • Meetings: 10 to 45 days’ notice and quorum by shares
  • Documents and minutes in one place

Management for ownersAvailable

Managing rental buildings on behalf of owners

Managing buildings on behalf of their owners? Each mandate has its buildings, its management fees and its held funds register: rent collected, expenses paid and payouts to the owner, kept separate for each one.

Every month, the owner statement comes together with rent, expenses and your management fees, billed at the same time. The owner opens it in their portal, approves work and only sees their own buildings. No more emails to get a water heater approved.

The module ships turned off: turn on when you want.

The held funds register tracks each owner’s money. Rules specific to your practice should be checked with your adviser.

What is available

  • Management mandates per owner, with their buildings
  • Held funds register for each owner
  • Management fees billed every month
  • Monthly statements: rent, expenses, fees and balance
  • Payouts to the owner, recorded in the register
  • Work to approve in the owner portal
  • Portal limited to their buildings, with their reports

The Quebec deadlines rental management software must follow

The figures come from official sources: the TAL, Revenu Québec, Québec.ca and the Civil Code of Québec. OKTO PSA tracks them in each lease’s notice calendar and in condominium files.

What rental software doesn’t do

Rental software handles leases and rent. It stops where the real work starts: maintenance, suppliers and your team.

  • A tenant request with a photo becomes a work order, assigned and tracked through to the invoice
  • Supplier invoices read by AI, purchasing and accounts payable in one place
  • Staff, schedules and payroll preparation with OKTO HR
  • Tenant portal, texts, electronic signature and online payments
  • Recurring maintenance, monthly invoices, reminders and automatic card payments that run by themselves
  • Built and hosted in Quebec, in French and English, billed in Canadian dollars

One software instead of four: fewer subscriptions, no more double entry.

Names you often see in Quebec: ImmoAdmin, which publishes its prices ($22 a month for 1 to 10 units, read on October 27, 2026), Proprio Expert, linked to CORPIQ, Hopem, a Quebec City publisher, and UpperBee, which has a condominium product.

An assistant that knows your data

OKTHAV answers with its sources, reads supplier invoices and receipts, and prepares the work without deciding for you.

5

A portal tenants actually use

Requests with photos and voice, chat, card payment, planned maintenance and posts, under your name.
